From Inbox to TMS: Automating 96% of Order Updates for a US Freight Company
Atlas Freight Solutions, a US freight and fulfilment provider, processed every order by hand — email in, retyped into the TMS, status chased by phone. MintoraX automated the entire order flow: 96% of status updates now go out untouched, and order entry dropped from 12 minutes to 90 seconds.
Client: Atlas Freight Solutions
Duration: 10 weeks
Services: AI Automation, Workflow Automation, Inventory Management, Dashboards & Business Intelligence, API Integrations
The Challenge
Orders reached Atlas as emails, PDFs and spreadsheets — every one retyped into the transport management system by the operations team. A single order took around 12 minutes to enter, and typos in addresses or quantities caused costly delivery failures.
Meanwhile, customers phoned and emailed all day asking the same question: “Where’s my order?” Dispatchers spent hours a day answering status queries instead of managing exceptions.
Our Solution
MintoraX built an AI order-management layer on top of Atlas’s existing TMS:
- Automated order capture — incoming emails, PDFs and spreadsheets parsed and validated, then entered into the TMS automatically
- Exception-first workflow — clean orders flow straight through; only ambiguous ones are queued for a human
- Proactive status updates — customers notified automatically at booking, dispatch, in-transit and delivery
- Self-serve tracking — an AI assistant answers “where’s my order?” from live TMS data, by email or chat
- Operations dashboard — live visibility of volumes, exceptions and SLA performance
The Results
Order entry time fell from 12 minutes to 90 seconds with entry errors down 80%. 96% of order status updates are now sent with zero human involvement, and status calls have largely disappeared.
The operations team runs the same volume with capacity to spare — and Atlas onboarded two new major accounts without hiring.

"Orders used to arrive by email and PDF and get typed into our TMS by hand. Now they flow straight through, and 96% of status updates go out without anyone touching them. Onboarding took a little longer than planned because of our legacy TMS, but the MintoraX team stayed on it until every edge case was handled."
